This role provides comprehensive accounting and administrative support to the Accounting Manager and CFO. This individual thinks and operates with both speed and efficiency and is extremely detail oriented. The ideal candidate will be able to work on multiple assignments and see tasks and projects through from beginning to end. They will also need to operate with sensitivity to timing/deadlines without getting flustered or letting small details fall through the cracks. The position requires an individual who knows how to take initiative and also when to ask for guidance or clarification to avoid error, who is a clear and confident communicator, and who takes tremendous ownership and pride in his/her work. This individual also needs to understand basic accounting. 

Key Responsibilities

  • Processing of Accounts Payable, including data entry and general ledger coding

  • Assisting with Accounts Receivable, including creating monthly invoices and sending to clients

  • Weekly cash deposits

  • Reviewing employee expense reports to ensure they are in compliance with company policy

  • Perform Amex reconciliation

  • Communicate and handle all incoming calls

  • Perform general clerical duties to include photocopying, faxing, scanning, mailing and maintaining files

  • Approve all office supply orders and review/research prices

  • Provide Administrative support to CFO

  • Responsible for calendar management, and required to interact with internal senior executives and external contacts/consultants to coordinate meetings

Required Skills & Attributes

  • Entry level, up to two years of accounting experience

  • Highly organized and efficient

  • Familiarity with Excel, Word, Outlook, and QuickBooks

  • Accounting degree or minor in Accounting

  • Exceptional attention to detail; consistently checks and double checks work

  • Ability to move tasks forward quickly in a careful and results-driven manner

  • Motivated self-starter who enjoys taking initiative and getting ahead of things

  • Able to stay calm and productive under pressure or multiple deadlines

  • Able to take direction well and ask for clarification if needed before starting a task

  • Excellent time management skills; ability to manage multiple tasks and projects simultaneously as well as use downtime to get ahead of things

  • Happy and energized by a fast-paced environment 

  • Ability to interact in a professional and appropriate fashion with colleagues at various levels, clients and other outside contacts

  • Mature, professional demeanor

  • Ability to manage sensitive and confidential information with discretion
